Frequently Asked Questions

General

What is ShopSheets?

ShopSheets provides real-time sync between your Shopify store and Google Sheets. View and manage your orders, products, and fulfillments in spreadsheets with automatic updates via webhooks.

How much does it cost?

$9.99/month with a 7-day free trial. No credit card required during the trial period.

Is my data secure?

Yes. ShopSheets uses industry-standard security practices:

  • OAuth tokens are encrypted at rest
  • All data is encrypted in transit
  • Order data is cached temporarily (up to 7 days) to improve performance
  • We only request the minimum Google permissions needed
  • You can revoke access anytime in your Google Account settings

What happens to my data if I uninstall?

  • Your Google Sheet remains in your Drive (you own it)
  • The sheet stops receiving updates
  • Historical data in the sheet is preserved
  • You can export or continue using the sheet as a static document

Features

Can I edit data in Sheets and sync back to Shopify?

Not yet. Currently, ShopSheets is one-way sync (Shopify → Google Sheets).

Two-way sync (Sheets → Shopify) is coming soon. This will allow you to:

  • Update order statuses
  • Modify product prices and inventory
  • Add fulfillment tracking

For now, use Sheets for viewing, reporting, and analysis.

What data types are supported?

Currently supported:

  • Orders (13 columns: Order Number, Date, Customer, Email, Total, Status, etc.)
  • Products (SKU, Title, Price, Inventory, etc.)
  • Fulfillments (Tracking Number, Carrier, Status, etc.)

Coming soon:

  • Customers
  • Inventory locations
  • Custom fields

How many sheets can I create?

Currently, one spreadsheet per Shopify store. The spreadsheet can have multiple tabs (Orders, Products, Fulfillments).

Each tab syncs independently based on its filters.

How far back can I sync orders?

You can sync orders from "All time" (your entire order history).

Recommendation: Use "Past 90 days" for better performance if you have 1000+ orders. You can always expand the date range later - ShopSheets uses smart caching to avoid re-fetching data.

Can I use Google Sheets formulas?

Yes! You can add formulas, charts, pivot tables, and conditional formatting.

Important: Avoid editing the data columns (typically A-M, rows 6+). ShopSheets overwrites this data during sync. Create your formulas in separate columns (N, O, P, etc.).

Can I share the sheet with my team?

Yes! Use standard Google Sheets sharing:

  1. Click Share in the top-right corner
  2. Add team members by email
  3. Set their permissions (Viewer, Commenter, or Editor)

Note: Team members don't need ShopSheets accounts to view the shared sheet.

Sync & Performance

How often does data sync?

Real-time via webhooks (1-2 minute delay):

  • New orders appear within 1-2 minutes
  • Order updates sync immediately
  • Product and fulfillment changes sync in real-time

Manual refresh:

  • Use the ShopSheets dashboard → Sync Now button
  • Changes appear in your sheet within seconds

What if I have 10,000+ orders?

ShopSheets handles large datasets efficiently:

  1. Use date range filters - "Past 90 days" loads faster than "All time"
  2. Initial sync may take 2-3 minutes - Subsequent syncs are faster due to caching
  3. Smart caching - Expanding date range only fetches new data, not duplicates
  4. Pagination - Data loads in chunks to avoid timeouts

Performance benchmarks:

  • 1,000 orders: ~15 seconds
  • 5,000 orders: ~45 seconds
  • 10,000 orders: ~2 minutes

Can I sync multiple Shopify stores?

Yes, but each store requires a separate ShopSheets installation:

  1. Install ShopSheets in Store A
  2. Connect Google Account A
  3. Install ShopSheets in Store B
  4. Connect Google Account B (can be the same account)

Each store gets its own spreadsheet.

What happens if sync fails?

ShopSheets automatically retries failed syncs with increasing delays:

  • First retry: after 1 minute
  • Second retry: after 5 minutes
  • Third retry: after 15 minutes

Check the dashboard's "Recent Activity" to see sync status. If syncs fail 3 times, contact support.
